MINUTES OF THE ANNUAL GENERAL MEETING held at BEAU DESERT GOLF CLUB
on THURSDAY, 23rd OCTOBER 2008 at 10.45 a.m.


PRESENT
Mrs. Anna Adams (President) in the Chair, 7 Officials and 78 Members, representing 35 Clubs.

Mrs. Adams welcomed every one and thanked Beau Desert Golf Club for once again allowing us to use their facilities.

APOLOGIES

MINUTES
The Minutes of the previous meeting held on Thursday, 25th October 2007, having been distributed, were taken as read. One adjustment was made to the minutes as follows.
In Minutes the first line The Minutes of the previous meeting held on Thursday 27th October 2005-should have read 27th October 2006.
On a motion proposed by Mrs. Sue Breese (Drayton Park G.C), and seconded by Mrs. Rosie Fowlie (Ingestre park G.C), the Minutes were unanimously approved as a correct record and were accordingly signed by the President.

MATTERS ARISING
There were no matters arising.

FINANCIAL STATEMENT
Copies of the accounts have been circulated. Expenditure was greater than income by £2,513.
Income
Subscriptions were up on the previous year by £1,032. This was because all clubs paid per capita. The subs will be collected by Staffordshire again in the new year to be sent to the Treasurer by the 24th January 2009.
Competition Entrance Fees
These were up on the previous year by £592. If delegates can keep encouraging their members to enter it is a really inexpensive way to play at other clubs and make new friends. Competition entry fees will be increased slightly next year as we are paying much higher facility fees to play our competitions.
Raffle
£366 this is up a little this year as the Junior section have donated some of their raffle income to the Seniors.
Donations/Sponsorship
Francesco group sponsor for County Championships £500.00
This is the last year that Francesco Group is sponsoring our Championships.
We are looking for a new sponsor and would be grateful if you know anyone who would be willing to do this.

M.D.E.L.G.A. contribution when split £1,375.00
South Staffs £25.00

Expenditure
This year's expenditure was £25,474 - comments are as follows:
Competition expenses
£7,350 including meals for the Am-Am, collected in entry fees (£562.00). This also includes gratuities for use of the courses. This has increased this year and will continue to rise as clubs are becoming more demanding in recompense for the use of their courses.


Match Expenses
Teams £6,349, includes accommodation for County week at Willesley Park. This is now a 6 day event which includes a practice day and we will in future incur increased expenses, especially as this year Staffordshire County host the event at Trentham Golf Club.
The expense total also includes some official and player mileage allowances.
Sundry Expenses
Donations: £400 ELGA Trust. £100 The Golf Foundation.
Administration and meeting expenses: £222 includes use of rooms at Brocton and Beau. County Coaching and Training: £1350.00.
Centenary Expenses
£2,951 This is the value of the stock of Centenary items that was carried forward from the previous financial year. Some of these items were sold during the year generating an income as already reported of £1856. Other items have been used as prizes and "give-aways". Residual stocks of Centenary items have been written off for the accounts, but some income may still be generated from sales during the current year.
County Uniform
£3324.00 has been spent this year. £2200 buying official uniform suits. It is many years since we purchased any. An inventory of the uniform will be kept by the County Captain and items will be returned to stock when players no longer play for the county. A further £965 was spent on updating playing kit. Players are allocated a set of uniform and any further that is required has to be paid for. £278 income generated this year.
Our accounts remain in good shape, but our costs are continuing to increase, and our expenditure has exceeded income for the last two years. No contributions are received from EWGA now for County Week so have to be careful to make sure that we keep monitoring our situation as we have always done in the past

FINANCIAL STATEMENT - JUNIORS
The financial statement for the 12 months ended 31st July 2008 shows an excess of income over expenditure of £1206

INCOME
Subscriptions are up on previous year, showing 210 members as at 31st July 2008

Competition Entrance Fees of £701 includes Beginners Jamboree, Bronze Medal, Junior Championship, Matchplay, & Rabbits Competition.

Coaching Fees of £319 is the money collected at the Autumn & Spring Coaching at St. Thomas Priory and Level Two at South Staffs.

ELGA Sundry of £2350 is made up of Development Grant of £750, Refund of Subscriptions £1100 and coaching £500.

Sale of Donated Equipment & Uniform £121 raised at auction at Girls Get Together at Beau Desert.

Grateful thanks were expressed to all concerned for their generosity.

 

 

EXPENDITURE
Most of the items are self-explanatory.

Coaching fees paid out covered Autumn 2007, Spring 2008 at The St. Thomas Priory and South Staffs.

Meals, refreshments and accommodation of £1708 include £860 for expenses at Matchplay Finals at Stowmarket G.C.

Mrs Diana Jeynes asked if anyone needed further clarification on any items, but as this was not required she thanked the Management Committee for their assistance over the year and Margaret Harding of Harding & Co for auditing the books.
Diana thanked Janet Burden with a presentation of flowers for her many years of hard work as Treasurer, and the 2 years as Treasurer to the Juniors.

Mrs Diana Jeynes proposed the adoption of the Financial Statement. This was seconded by Mrs Doreen Banks (Oxley Park Golf Club)

As usual, the reports were adopted en bloc, on a proposition by the President. This was seconded by Mrs. Trish Lee (Branston G.C) and following a show of hands the reports adopted unanimously.
The President thanked everyone for all their hard work for the Association during the year.

Mrs Pam Siviter announced the winners of the Inter-Club and Scratch League competitions, and the President presented the trophies/cheques, as follows:

The President then called upon Mrs. Jill Roper (Lady Captain of Trentham G.C) who thanked the Committee on behalf of all the trophy winners.

• The Secretary Pam Siviter reminded everyone that a copy of the Minutes would be available for down loading.

• A vote of thanks was made by Anna Adams (President) to the retiring officers.

The President thanked everyone for attending and Beau Dessert for once again allowing us to hold our AGM at the club. She wished everyone a safe journey home. The next Delegates meeting would be at Brocton Hall on Monday 1st December 2008.


There being no other business the meeting was closed.

Mrs. Enid Butler (Brocton G.C) thanked Mrs. Adams for so ably chairing the meeting.
